Microsoft Outlook 2007 Guide

A student of the University may access their campus e-mail from any Windows computer in a lab or office by using Microsoft Outlook 2007.  This guide details the following:

  1. Connecting to Microsoft Outlook 2007

  2. Sending an E-Mail Message

  4. Deleting an E-Mail Message

Connecting to Outlook 2007

To check your e-mail from a lab or office computer, running the Windows Operating System, follow these instructions:

  1. Double click the Microsoft Outlook Icon Microsoft Outlook Icon on the desktop

  2. If a pop-up box appears stating that a message you have received has been found to be Junk Mail, click Close

    Microsoft Office Outlook Junk Email Dialog:

    NOTE:  You are not able to change the Junk E-Mail settings - they are set on High

  3. Please be patient, as Microsoft Outlook 2007 will need to download all of your messages

Sending an E-Mail Message

In order to compose a new e-mail, follow these steps:

  1. Click the New Icon  New, which will open a new window

  2. In the 'To' field, enter the recipient's e-mail address

  3. Enter the subject of the e-mail in the subject field

  4. In the large white box below the subject field, type your message

  5. Once complete, attach any needed attachments

  6. Click the Send Icon Send

  7. The box will automatically close and the message sent.  A copy of the message will be kept in your Sent Items folder

Replying to an E-Mail Message

If you receive a message you would like to respond to, follow these instructions:

  1. Open the message you would like to respond to

  2. Click the Reply Icon Reply.  This will open a new box

  3. You will see their message quoted below in the large white box.  Type your reply at the top of the white box

  4. Once complete, attach any needed attachments

  5. Click the Send Icon Send

  6. The box will automatically close and the message sent.  A copy of the message will be kept in your Sent Items folder

Deleting an E-Mail Message

After you have read your messages you will want to delete unimportant ones to conserve space.  Follow these instructions to delete your unwanted mail:

  1. If the message you would like to delete is open, click the X Icon Delete Icon.  The message will be deleted and moved to your Deleted Items folder

  2. If the message you would like to delete is not open, highlight it and click the X Icon Delete Icon.  The message will be deleted and moved to your Deleted Items folder

Emptying the Deleted Items Folder

After you have deleted e-mail you will want to empty the Deleted Items folder.  This frees up space for more e-mail and storage.

  1. On the Folder View, right click the Deleted Items Folder

  2. Select 'Empty "Deleted Items" Folder'

  3. A box will appear asking if you are sure, click YES.  The folder is now empty

  4. Click the Inbox Folder, on the Folder View, to return to your e-mail

Emptying the Junk Email Folder

Microsoft Outlook 2007 has the ability to filter Junk E-Mail your account receives to the Junk E-Mail folder.  It is set to a High setting, and is unchangeable.

  1. Assure that all of the e-mail in your Junk E-Mail Folder is junk

  2. If an e-mail that is not junk is in the Junk E-Mail Folder, right click on it and select Move To Folder.  Select Inbox and click OK - the message is now located in your Inbox

  3. On the Folder View, right click the Junk E-Mail Folder

  4. Select 'Empty "Junk E-Mail" Folder'

  5. A box will appear asking if you are sure, click YES.  The folder is now empty

  6. Click the Inbox Folder, on the Folder View, to return to your e-mail

Forwarding an E-mail Message

If you receive a message you would like to send on to someone else, follow these steps:

  1. Open the e-mail you would like to forward.

  2. Click the Forward Icon Forward.  This will open a new box containing the message

  3. At the top of the white box, type anything you would like to add to the e-mail

  4. Once complete, click the Send Icon Send

Attaching Files to an E-Mail Message

If you need to attach a file to an e-mail you are sending, follow these instructions:

  1. While composing the message, click on the Paperclip Icon Attachment Icon

  2. Select the file located on your computer you would like to attach

    NOTE: You may select multiple files by holding down the Ctrl button while you left click each file

  3. Click Insert

  4. The list of files attached will be displayed just below the Subject Field

  5. Check the list to make sure it is correct.  Remove incorrect file attachments by clicking them and pressing the Delete Key

    NOTE: You can add attachments at any time during the e-mail's composition, simply click on the Paperclip Icon Attachment Icon to add more!

Exiting Microsoft Outlook 2007

To exit Microsoft Outlook, click the File Menu and select Exit.  Make sure you log off of the lab or office computer to insure no one will access your e-mail
