Dear Deans, Chairs, and Faculty,

The University Wide Promotion Committee (UWPC) would like to remind Department Chairpersons and Department Promotion Committees of the next steps in the promotions process.

 

By October 1, 2013 Department Chairpersons should convene a Department Meeting and elect a DEPARTMENT PROMOTION COMMITTEE that consists of regular full time faculty. The Department Chair should then convene the first DEPARTMENT PROMOTION COMMITTEE and hold the election of DEPARTMENT PROMOTION COMMITTEE Chair before November 1, 2013.

NOTE: "A department chairperson shall not be permitted to participate in the review of any applicants, if he/she or a member of his/her immediate family or a person residing in his/her household is an applicant. The department shall select another faculty member in the department acceptable to the department and management to substitute for the department chairperson."

By November 1, 2013 the Department Chair should receive the department faculty candidate's application for promotion and ensure the candidate's dossier is in a secure place and accessible to the DEPARTMENT PROMOTION COMMITTEE.

By November 1, 2013, faculty applicants for promotion must also send an application directly to Swarn Gill in Eberly 160, mailbox #55.

Department Chairpersons must also complete Appendix B2, (attached) found on page 19 of the Promotions Policies and Procedures to certify that the applicant meets the requirements listed. This form is to be placed in the front of the applicant's Dossier.

Promotion candidates' dossiers will remain in their departments until February 1, 2014.

Department Chairpersons and Department Promotion Committees must provide a copy of their recommendations to the candidate for the candidate's review and meet and respond, if needed, before the Department Chairpersons and Department Promotion Committees revise, if needed, and submit the final recommendation on February 1, 2014.

On or before February 1, 2014, Department Chairpersons and Department Promotion Committees must send separate, detailed written recommendations for each applicant directly to Swarn Gill in Eberly 160, mailbox #55. Do not place recommendations in the candidates' dossiers.

These letters of recommendations will be placed by in the candidates’ dossiers by the University-Wide Promotion Committee.  

By February 1, 2014, Deans must also send a detailed recommendation for candidate's promotion to Swarn Gill and they shall simultaneously provide a copy of the recommendation to the promotion candidate.

By February 15, 2014, the promotion candidate may submit a written statement addressing concerns about the Dean’s recommendation to the University-Wide Promotion Committee, attention Swarn Gill .

On February 1, 2014 the Department Chairperson will send the dossier and supporting documents to the attention of President Jones and UWPC Chair Swarn Gill and place them in the Promotion/Tenure Documents room in the Manderino Library (key for the room may be obtained from the front desk). Please make sure the binders are clearly labeled with the name of the candidate. Shelves in the Promotion/Tenure Documents room will be organized according to alphabet to please place the dossiers in the room accordingly.

The Promotion Policy for 2013-2014 is available on the University Wide Promotion Committee webpage located under Information for> "Faculty/Staff" on the Cal U homepage, and at the Provost's office. Other documents in the  include the timetable and tabulation score sheets for teaching and non-teaching faculty located in the appendices.
