Apostille Process for Diploma and/or Transcript

To begin the Apostille process for a diploma or transcript, please refer to the Pennsylvania Department of State website.

does NOT apostille diplomas and/or official transcripts. We are only authorized to notarize such documents.

  1. Submit your completed Request for Notary Services form, along with your documentation to be notarized to the Academic Records office in Dixon 122. You will be required to present photo ID to submit your request in person.

Every attempt is made to complete the notary within two weeks of receipt of the request and accompanying documents. Notarized documents cannot be emailed.

Students must be aware that:

  • Transcripts displaying a graduation date are ready usually one week after the end of term for graduate students and two weeks following the end of term for undergraduate students.
  • Diplomas are distributed by Office of Academic Records. Please contact the office directly for a pick-up date

Duplicate Diploma

Our diplomas were redesigned in May 2011 for both graduate and undergraduate degrees.

The typical turnaround time is 6-8 weeks. Processing time will vary depending on when a request and payment is received.

Important:
Your name on your diploma must be identical to the way it appears on the University's student information system.

If any information in incorrect, DO NOT submit your duplicate diploma order until it is corrected. Name and address changes are handled through the Office of Academic Records by completing and submitting the following form:

Requesting Official Transcripts

Students and alumni can request official transcripts online through the National Student Clearinghouse 24/7. It's quick, simple and secure!

ALUMI AND STUDENTS WHO PREVIOUSLY ATTENDED CALIFORNIA, CLARIN OR EDINBORO UNIVERSITY

We have authorized the National Student Clearinghouse to provide online transcript ordering.

Need your official transcript now? Select the delivery method of Electronic PDF. Secure Electronic PDF transcripts are normally processed within 30 minutes.

You can upload a document to be submitted along with your electronic transcript request. You will be presented with the option while placing your order. We only accept PDF, JPG, JPEG, DOC and DOCX files as attachments.

Students may choose to receive order updates via mobile text message and email. Track your order online using your email address and order number.

FEES

$10.00 per Transcript

You can pay for your National Student Clearinghouse transcript order with any major credit or debit card. Your credit card is not charged until your transcript(s) are sent.

RESTRICTIONS

Transcripts cannot be issued if the student's revenue account is not clear with the University.

HOLD FOR PICKUP ORDERS

Hold for Pickup orders can be picked up at the following campus locations. Hours: 9:00 a.m. – 4:00 p.m.. For the University Holiday schedule, please refer to the Academic Calendar.

    • California Campus – Office of the Registrar, Dixon Hall, 250 University Avenue, California, PA 15419.

NOTE: Official Transcripts reflecting Spring and Summer 2022 final grades and degrees will not be available until June 20, 2022. Please hold your request until then. For Spring 2022 graduates, if you need an official transcript prior to this date please contact Registrar@pennwest.edu. We apologize for any inconvenience. 

TRANSCRIPT PROCESSING

  • Cost: $10.00 per transcript ordered.
  • Processing Time: Mail/paper transcripts are typically processed within 3-5 business days. Electronic PDF transcripts are typically processed within 15-30 minutes. Please note: No paper transcripts are processed or mailed on days the University is closed. Please plan accordingly. For the University Holiday schedule, please refer to the University’s Academic Calendars.
  • Unofficial Transcripts: The Office of the Registrar does not provide unofficial transcripts. Currently enrolled students may access unofficial transcripts via their my.pennwest.edu account online.

ELECTRONIC PDF TRANSCRIPTS

  • Electronic Transcript: If intending to upload the transcript to a website, the security settings may not allow you to do so and you may want to consider ordering a mail/paper transcript instead.
  • Opening Electronic Transcripts: In order to open an electronic PDF transcript, the receiver must have the correct version of Adobe Reader. To download the free version of Adobe Reader, visit www.adobe.com.
  • Archived Records: If you attended Edinboro prior to 1976 or Clarion prior to 1985 or California prior to 1970, you will not be able to order an electronic transcript and must order a paper transcript. Your order may also require additional days for processing.

BE AWARE WHEN PLACING YOUR ORDER:

  • Financial Holds: Before you proceed, please ensure you have no holds on your account. If you have a hold on your account, you will be notified at the time you place your order and your order will be held for 10 days. If after 10 days the hold has not been cleared, your order will be canceled.
  • Transcript Delay Options: If you are not currently enrolled, please only choose your “Current” transcript to include the grades and degrees earned to date. For current students, you may choose the “Hold for Degrees” or “Hold for Grades” options if you wish to delay the delivery of your transcript until after grades or degrees are posted at the end of the semester.
  • Upload Attachments: You can upload a document to be submitted along with your transcript request (e.g. AMCAS, LSAC, PTCAS, CASPA cover sheets). You will be presented with the option while placing your order. We only accept PDF, JPG, JPEG, DOC, and DOCX files.
